Quarterly board report pack
Turn a quarter of programme, finance and safeguarding data into a board-ready pack with an honest narrative and clear asks.
When to use this project
Use this in the two weeks before a board or trustee meeting when you need a clear, honest pack that highlights what's working, what isn't, and what decisions are needed.
How to use AI in this project
AI helps you write plainly and consistently across four familiar sections. You provide the numbers, incidents, and context; AI turns them into balanced narrative. It's especially good at drafting the "commentary" alongside KPIs — but you must correct any tone that sounds spun, defensive, or overly cheerful.
AI tips for this project
- Feed in the actual KPI numbers — don't ask the model to estimate.
- Ask for one lowlight for every two highlights so the pack reads as honest.
- Include red-flag risks even if uncomfortable; the board needs to see them.
- Turn every "decision requested" into a yes/no or A/B question.
The 4 steps
- 01
Highlights and lowlights
A short honest opener — not a victory lap.
How to use AI here · Paste your programme dashboard notes or the last 4 weeks' log. Ask for 3 highlights and 2 lowlights in one line each — no adjectives, just facts a trustee can verify.- Every number is evidenced
- Lowlights name a system issue, not a person
- 02
KPIs with honest commentary
KPIs without commentary are just wallpaper.
How to use AI here · Give AI the raw KPI table plus targets. Ask it to write two-sentence commentary per KPI: one on the number, one on what's driving it. Reject any commentary that spins a miss.- Direction of travel is clear for each KPI
- Confidence level is stated honestly
- 03
Risk & safeguarding update
Board-appropriate, no identifiable data.
How to use AI here · Paste anonymised risk log and any safeguarding themes (never names). Ask for movement since last board (new / escalated / de-escalated / closed) and one mitigation action per open risk.- DSL has reviewed the safeguarding wording
- No individual is identifiable
- 04
Decisions requested
Boards decide. Give them 2-3 clear choices.
How to use AI here · List the decisions you need this quarter. Ask AI to reformat each as a yes/no or A/B question with the trade-off in one sentence. If a decision doesn't fit that shape, it isn't ready for the board yet.- Each decision is genuinely at board level
- The "do nothing" option is honestly described
