Donor thank-you & stewardship flow

Design a 90-day stewardship journey for a new donor or funder — warm, honest, and mission-anchored.

45-60 minutes
A sequenced plan: day 0 thank-you, day 14 impact note, day 45 invitation, day 90 report — plus draft copy for each touchpoint.

When to use this project

Use this when a donor gives, especially a first-time or mid-level gift, and you want a warm, human 90-day journey rather than a single thank-you email.

How to use AI in this project

AI drafts the four touchpoints (Day 0, 14, 45, 90) in your association's voice, tied to the specific project or service the donor supported. You supply the giving details and the actual impact updates — AI turns them into readable, non-transactional messages that thank rather than ask.

AI tips for this project

  • Fill in the donor's first name and the specific programme they gave to — generic beats fake personalisation.
  • Ban asks in Day 0 and Day 14 messages. Stewardship first.
  • Use a real impact number in Day 45 or Day 90 — not a placeholder.
  • Read every message as if you were the donor. If it sounds like a form, rewrite it.

The 4 steps

  1. 01

    Day 0 thank-you

Fast, warm, specific — not templated.

How to use AI here · Give the donor first name, gift amount range, and the specific programme they supported. Ask for a warm, non-transactional thank-you — under 150 words, no ask, no jargon, and one specific line about their gift.
    • The specific impact is honestly described
    • It sounds like a person, not a mail merge
  2. 02

    Day 14 impact note

    Show, do not tell.

How to use AI here · Provide one real, recent impact detail from the programme. Ask AI to weave it into a short update that shows their gift is at work — again, no ask.
    • Story is approved by the young person
    • Non-monetary ask is genuine
  3. 03

    Day 45 invitation

Bring them closer to the work.

How to use AI here · Choose a real, low-pressure invitation (site visit, event, coffee with a programme lead). Ask AI to draft an invitation email that gives the donor an easy yes and an easy no.
    • Invitation is genuinely open, not transactional
    • Accessibility of the offer has been considered
  4. 04

    Day 90 report

    Close the first cycle honestly.

How to use AI here · Provide the outcomes achieved in the quarter linked to their gift. Ask AI for a short, honest report — including one thing that was harder than expected. Trust is built by not pretending.
    • Anything harder than expected is named
    • Numbers are evidenced, quotes are approved
