Staff & volunteer rota planner

Draft a fair, coverage-safe rota for a week or event, honouring role requirements, availability, and safeguarding ratios.

30-45 minutes
A proposed rota table, an explanation of trade-offs, and a list of gaps or requests to resolve with the team.

When to use this project

Use this when you need to draft a fair, safeguarding-compliant staff or volunteer rota — start of term, holiday cover, event weekend, new programme launch.

How to use AI in this project

AI drafts a first-pass rota against your stated constraints (minimum ratios, DBS/PVG cover, unavailabilities, breaks). You still make the human call on fairness, individual circumstances, and any protected-characteristic sensitivities. The "Fairness pass" step is specifically designed to spot patterns the model missed.

AI tips for this project

  • State minimum ratios and DBS/PVG requirements explicitly in Step 1 — don't assume the model knows them.
  • List unavailabilities and caring responsibilities up front so they're respected in the first draft.
  • In Step 3, ask the model to check for anyone consistently getting the worst shifts.
  • The rota is a proposal until real humans confirm — never publish the AI draft unchanged.

The 4 steps

  1. 01

    Set the constraints

Rota-writing is constraint satisfaction — write the constraints first.

How to use AI here · List the shift pattern, minimum staffing, DBS/PVG requirements, and every unavailability up front. Ask AI to restate the constraints back to you — if it gets one wrong, correct before drafting.
    • Safeguarding ratios are explicit
    • Any single point of failure is flagged
  2. 02

    Draft the rota

A first draft that respects every hard rule.

How to use AI here · Ask for a first-draft rota that respects every constraint. Ask it to flag any shift where minimums are only just met and any person carrying more than their fair share of unsociable hours.
    • Every safeguarding-critical shift is covered
    • Trade-offs are named, not hidden
  3. 03

    Fairness pass

Same people should not always get the awkward shifts.

How to use AI here · Ask AI to review the draft for fairness: distribution of weekends, evenings, split shifts, and coverage during school holidays. Ask for named alternatives, not just observations.
    • No one is quietly carrying the team
    • Suggested swaps have been checked with those affected
  4. 04

    Team message

    Publish clearly, invite challenge.

How to use AI here · Draft a warm team message: publish the rota, name the constraints you juggled, invite swaps within rules, thank people for flexibility. Keep it human — not a memo.
    • There is a clear route to raise a concern
    • Deadline is realistic
